international relocation - space move

The furniture you already own can make returning home easier, or make the move more complicated than expected. A favourite dining table, a reliable appliance and a cheap shelf do not deserve the same shipping decision simply because they fit inside one house.

Returning to Kenya with household goods starts with deciding what is worth moving, then checking the import arrangements before anything is dispatched. Your flight, the shipment and the availability of your Kenyan home are three separate timelines that need to meet.

We would begin with an inventory and an assessment of the collection country, destination and proposed dates. Our international moving service coordinates agreed overseas-partner and Kenyan destination arrangements. The planning below helps establish the scope before a quotation becomes a booking.

Make a ship, replace or carry list

Walk through the household and give every significant item a decision. Ship means it belongs in the freight inventory. Replace means it will be sold, donated or left behind and sourced later. Carry means it travels with you within the relevant passenger and airline rules.

Consider condition, likely remaining use, dimensions, sentimental value and the effort of finding an appropriate replacement. A bulky low-value piece may consume more shipment space than its usefulness justifies. A well-made item you intend to use for years may deserve a different assessment.

Do not assume the answer from someone else’s household applies to yours. A family returning with young children and a professional arriving alone can have different immediate needs. Use their questions as prompts, then decide against your own inventory, budget and receiving home.

Compare landed cost rather than freight alone

For an item you are unsure about, compare the realistic replacement option with its share of collection, packing, freight, destination handling, any applicable charges and delivery. Exact allocation may be difficult, so use the exercise to identify the large decisions rather than invent a precise cost for every spoon.

Ask whether removing a bulky piece would change the shipment arrangement or merely leave unused space within an already quoted load. The saving depends on the freight and collection model, not only on the item disappearing from the list.

Check the receiving home before choosing the load

Confirm the property type, available rooms and access at the Kenyan address. Obtain dimensions where a large sofa, bed or wardrobe may be difficult to place. A piece that fits the overseas home may not pass through the new building’s lift or corridor.

If you have not yet selected a home, distinguish the items you definitely want from those dependent on its layout. Discuss the uncertainty before booking the shipment. Storage can provide flexibility, but it adds handling, cost and another delivery decision.

Our household storage in Nairobi can be discussed during assessment. Confirm the actual arrangement, expected duration, access and onward delivery rather than assuming storage is included in an international quotation.

Have the customs position reviewed before dispatch

KRA’s returning-resident guidance describes conditional relief for qualifying used personal and household effects. Eligibility depends on the importer’s circumstances and supporting evidence. A returning Kenyan citizen, a first-arrival foreign resident and a diplomatic importer should not be treated as identical cases.

The official KRA returning-resident guidance identifies documents including the packing list, transport documents, passport and evidence of residence abroad. It also sets arrival-related shipment conditions and requires a licensed customs clearing agent for the exemption and release process.

Ask the appointed agent to assess your status, timing and inventory before the goods leave. KRA also publishes first-arrival and diplomatic guidance for different circumstances. Do not assume a moving quotation establishes an exemption.

Record the advice, outstanding documents and responsible contact in your planning file. Customs clearance is an operational dependency, not a task to begin only after the household has reached a terminal.

Build an inventory that can follow the shipment

Prepare a clear item list before the packing survey. Separate ordinary used household contents from new purchases, commercial stock, vehicles and unusual or restricted goods that require a different assessment. Do not add undeclared items after the documents have been finalised.

Photograph valuable or fragile belongings and record their condition. Retain relevant receipts or value evidence privately. Describe large pieces accurately and give dimensions where required for packing and handling.

Number boxes and associate them with the packing list. Keep the final version, not just an early estimate sent for a quotation. If the load changes, ask the responsible team which documents and prices need updating before dispatch.

Check appliances as individual products

Before shipping an appliance, check its rating plate, manufacturer instructions, electrical compatibility and any installation requirements for the Kenyan home. A plug adapter is not evidence that a product is suitable for a different electrical supply. Seek appropriate technical advice where compatibility is uncertain.

Also consider repair support, available space, detachable parts and the likely cost of replacement. Keep manuals and identify accessories. For refrigeration and other sensitive appliances, follow model-specific preparation, transport and restart instructions rather than a single rule passed between movers.

Discuss packing and handling requirements for electronics, glass and furniture with the team. Origin packing will be arranged through the agreed overseas provider, and its scope should be clear before collection.

Choose the freight arrangement around the inventory

For a larger household, ask about a dedicated container. For a smaller shipment, discuss shared-container arrangements where available. Confirm minimum charges, consolidation expectations and the connection between collection and departure.

Air freight may suit selected belongings needed sooner, but compare chargeable dimensions, weight and the complete service scope. The faster transport leg does not remove collection, documentation, clearance or final-delivery requirements.

If your origin is Britain, our UK-to-Kenya moving page explains the collection information needed. For an American origin, use the USA-to-Kenya service. Collections from continental countries are addressed on the Europe-to-Kenya page.

Ask for the complete chain of charges

Request a quotation identifying collection, export packing, any crating, origin handling, freight, clearance services, destination handling and final delivery. Ask which taxes or duties, terminal costs and third-party payments are included, estimated or excluded.

Confirm the quotation’s currency and validity period. Ask how a revised inventory, inspection, delay or extended storage would be charged. A freight-only number should not be compared directly with a door-to-door household service.

Clarify who communicates with you at each stage. Keep the origin contact, freight reference, clearing contact and Kenyan delivery coordinator accessible. If different companies take responsibility for different legs, the booking documents should identify those roles.

Keep travel essentials outside the shipment

Prepare for the possibility that you and the freight will arrive at different times. Carry identification, medication, important documents, chargers and essential personal belongings subject to the relevant travel rules. Organise immediate needs for children and any equipment required for work.

Make a practical first-week list for Kenya: accommodation, communication, food preparation, sleeping arrangements and local transport. This is not a shopping list for an entire new home. It is the minimum needed if delivery takes longer than the most optimistic estimate.

Do not put irreplaceable documents into the load because they belong in a desk that is being shipped. Keep secure copies of the shipment paperwork available while travelling, with access that does not depend on one device remaining charged.

Confirm the delivery window only when the home can receive it

Give the Kenyan team the building or compound name, correct entrance, map pin, floor and loading arrangements. Ask the property manager about moving hours and lift reservations. Identify who can receive the goods if you are not present.

At delivery, check boxes and larger items against the inventory. Record missing goods or visible damage promptly and follow the agreed reporting procedure. Keep photographs, documents and relevant packaging if an assessment is required.

Confirm insurance terms for the overseas origin work, freight, Kenyan handling and any storage. Coverage and settlement depend on the applicable policy; a declaration that a service is insured is not a promise of automatic replacement in every circumstance.

Avoid adding last-minute purchases without reassessing the load

A sale before departure can make an extra appliance or furniture item look attractive. Before buying it, check the shipment space, packing requirements, compatibility and applicable import treatment. A new purchase can change the inventory and documentation rather than simply filling an unused corner.

Keep purchase decisions separate from the assumption that everything in your current home qualifies for the same treatment. Send the updated details to the relevant teams and obtain the revised position before dispatch. That also helps prevent disagreement between the survey inventory, the packing list and the goods presented for clearance.

If you decide against shipping an item, remove it from the final list and confirm whether the change affects the quotation. Keep the amended version so every provider is working from the same household.

Book against the decisions you have actually made

Resolve the major ship-or-replace choices, obtain the document review and establish the receiving arrangements before committing to a final scope. Keep uncertainty visible where a home, date or eligibility question remains unsettled.

To discuss your return, send the collection country, inventory, Kenyan destination and proposed dates. Mark what is confirmed and what still needs assessing. The best shipment is the one that brings the belongings you will use, through a process whose responsibilities and charges you understand.
