A move between Nairobi and Mombasa needs two plans: how your belongings will travel, and how they will get through the doors at each end. A well-packed load can still be delayed by an unavailable caretaker, an unbooked lift or a delivery address that the vehicle cannot reach.
This guide covers the practical preparations for either direction. For a quotation and the service options available for your dates, visit our Nairobi–Mombasa moving service.
Start with an inventory for both addresses
List the furniture, appliances and approximate number of boxes you intend to move. Include items in balconies, stores and outside rooms. Separate anything you plan to sell, donate or leave behind before asking for a quotation.
Send clear photographs of bulky items and access points. A large sofa, solid dining table or tall fridge can affect the crew, vehicle and handling plan. Tell the mover about staircases, narrow landings and furniture that may need dismantling. Check the same details at the destination, rather than assuming that access will be easier there.
Confirm access before choosing a delivery window
Speak to the caretaker, landlord or building manager at both properties. Ask which days and hours moves are allowed, whether a lift must be booked, where the vehicle can park and who will open the gate. Where a building requires permission or a deposit, arrange it before the moving day.
For a delivery in Mombasa, give the full neighbourhood and building location. If the address involves an additional crossing, restricted access or a smaller access vehicle, discuss the arrangement in advance. For Nairobi apartments, check loading space, basement clearance and the distance from the vehicle to the lift or stairs.
Share a map pin alongside the written address and a contact number for the person receiving the load. A map pin alone may point to the wrong entrance.
Ask what the quotation actually includes
Compare written scopes, rather than comparing only the final totals. Ask whether the quotation covers packing materials, packing labour, dismantling, loading, transport, unloading, reassembly and removal of used materials. Specify anything you will pack yourself.
- Vehicle arrangement: ask whether the load travels in a dedicated vehicle or as part of a shared arrangement.
- Collection and delivery: agree the proposed windows and how changes will be communicated.
- Access: disclose stairs, long carries, limited parking and any need for a smaller vehicle.
- Storage: if your new home is not ready, agree where the goods will be held and the separate charges.
- Payment: confirm the payment stages and obtain a written record.
Journey time and delivery time are different. Packing, loading, access restrictions and unloading all need space in the schedule. Keep your personal travel plans flexible until the collection and receiving arrangements are confirmed.
Pack for handling and a longer journey
Use sound boxes that can close without bulging. Put heavier items in smaller boxes, cushion fragile pieces individually and fill empty spaces so the contents cannot move freely. Label each box with its destination room, contents and a box number. Mark fragile boxes clearly, but still pack them to withstand ordinary handling.
Protect furniture edges and surfaces, and keep dismantled fittings in labelled bags. Photograph cable connections before disconnecting equipment. Back up important files and keep small electronics, chargers and essential documents with you where practical.
Empty and dry appliances before packing. Follow the manufacturer’s instructions for preparing, transporting and restarting a fridge or other appliance. Tell the mover about liquids, batteries, fuel containers or chemicals before including them; ask which items cannot travel in the load.
Keep goods dry when moving to or from the coast
Pack only clean, dry textiles and furniture. Drying a damp rug after it has been wrapped is much harder than drying it before collection. Use suitable protective packaging for electronics and upholstery, and ask how the vehicle protects the load from rain.
At the receiving property, make sure the rooms are ready and dry before unloading. Do not leave wrapped furniture against a damp wall or keep wet packing material around it. If delivery must be postponed, discuss storage arrangements before collection so the handling and storage requirements are included in the plan.
Use an inventory at collection and delivery
Number the boxes and record the larger items on a collection list. Take dated photographs of valuable or fragile items and note existing marks before wrapping. Keep your copy of the inventory, quotation and payment records accessible during travel.
At delivery, count the boxes and larger pieces against the list. Inspect accessible items with the crew and record any missing item or visible damage promptly on the delivery record. Ask for the company’s written reporting process and the applicable terms before booking; keep photographs and supporting documents if an issue arises.
Carry a first-night bag separately
Keep medication, identification, keys, toiletries, a change of clothes, chargers and essentials for children or pets outside the moving load. Add bedding and basic cleaning supplies if you will arrive before unpacking is complete. Arrange the movement of pets and your own travel separately with the appropriate provider.
Build the schedule around three separate handovers
For a Nairobi–Mombasa house move, write down collection, your own travel and delivery as separate events. The household does not have to travel with the goods, and the receiving person may be different from the person who signed at collection. Name both contacts and decide who can approve changes if the planned arrival window shifts.
At the origin, allow time for packing, checking the inventory and releasing the property. At the destination, arrange keys, approved access and a dry place for unloading before expecting the vehicle. Do not use a passenger travel estimate as the delivery promise for a loaded household move. The agreed service needs to account for loading, the journey, access and unloading.
What if the receiving home is not ready?
Tell the mover as soon as the handover becomes uncertain. Ask whether collection should change or whether the goods can go into agreed storage. Confirm the collection-to-storage and storage-to-home charges, the minimum term and how redelivery is booked. See our storage service to discuss managing that gap without losing track of the second delivery.
Should the quotation cover both directions?
A Nairobi-to-Mombasa quotation should reflect those exact origin and destination addresses. A later return move is a new scope if the inventory, dates or access differ. Even for the same furniture, a different floor, a restricted compound or an additional stop can change the work. Ask for a fresh written assessment rather than assuming that reversing the route reverses every condition.
Use an arrival-day room plan
Before loading, label the boxes for the rooms at the new address. Number each box and keep a short list on your phone or on paper. Mark items needed immediately so they can be identified at delivery without opening every carton. Our packing team can help keep kitchen essentials and bedroom fittings accessible.
At the receiving home, point out the rooms and the furniture positions before unloading begins. Check that the largest pieces can reach their intended rooms, especially if the destination is an apartment. A sofa carried into the wrong bedroom creates avoidable handling. Leave packaging around a delicate item until the crew is ready to position or inspect it.
Count larger items and numbered boxes against the collection inventory. If another person receives the load for you, give them a copy beforehand and explain what they are authorised to sign. Record any unresolved issue clearly; do not sign a statement that you have inspected items you have not seen.
Questions to settle before the deposit
- Which packing and unpacking tasks are included, and which will you do yourself?
- What changes would require an updated quotation?
- Who communicates the collection and arrival updates?
- What happens if either building refuses access?
- Which reporting process applies if an item is missing or damaged?
- What storage arrangement is available if the receiving address changes?
The moving-cost guide helps you put competing quotations on the same basis. For fragile contents, use the fragile-item packing service before collection, rather than relying on a fragile label alone. Keep a copy of the final scope with the inventory and payment records throughout the journey.
Keep the receiving contact informed if your own travel changes. They need the inventory, the destination room plan and the authority to record concerns. Confirm that somebody can remain until unloading and the agreed checks are complete, rather than handing the keys over and leaving the crew without a decision-maker.
Before the vehicle leaves
- Walk through every room, balcony and store to check nothing has been missed.
- Confirm the inventory and the receiving person’s contact details.
- Recheck gate access, lift bookings and the delivery window.
- Keep keys, documents and first-night essentials with you.
- Agree who will provide the next update and how you will reach them.
